What happens once the project ends?

Once the project duration has been completed, no more proposals are accepted. The client chooses their favourite proposal from the ones submitted and determines the winning creative within 30 days. They then acquire the property rights directly from the creative at the previously set prize amount.

If client wishes any adjustment or correction in the winning proposal, he must notify it to the creative within 7 days of choosing him/her as winner. The creative is obliged to perform those corrections or adjustments within another 7 days. Final archives must be uploaded to "project administration", and from then onwards, invoice has to be paid.

If these corrections are too many, an extra prize must be settled between creative and client for extra supplementary corrections.

If a proposal is bought, the winning creative will receive an email with information regarding invoicing details. Others will be able to see, on the "project overview" page, the winning proposal (this does not apply to private projects).

How do I choose a winner?

At the proposal's detailed page, you'll find at the right side the link "Choose proposal as winner". By clicking on this link you'll land into the buying process. Shown is always a net price: depending on the fiscal situation of both parties, VAT could be applied. In general: if creative lives in the same country as the client, VAT must be charged.

Please notify when buying, if you need to use the "correction round". Adjustments have to be notified within 7 days in written. If the proposal does not need any correction, the creative will be entitled to prepare and upload final archives (in format previously established in brief) in "project administration". This upload must happen within 7 days after choosing a winner.

How long do clients have to choose a winner?

To decide on your favourite proposal can be a difficult task. Especially, if the decision is being made by more than one.

Usually the client will decide within a week, but this could be up to a 30 days maximum. If this is not possible due to administrative reasons or illness, it will be indicated in the "project overview". Creatives will just have to wait for the result. And if the client just cannot decide him/herself just for a proposal, it is also possible for them to buy several... ;-)

What if project is guaranteed and client doesn't pick a winner?

If after a 30 days term no winner has been chosen, the 12designer team will take part in the process and ask the client for a decision in a reasonable time frame. If no further action is taken in order to choose a winner, we'll step forward and choose by ourselves a winner, which will be the one that suits best the briefing. We'll advance payment to the creative on behalf of client, and this payment will be understood as a compensation payment, and therefore, limited up to a 50% of the project prize, up to a maximum amount of 500€.

What to do, if a client is not willing to pay?

If a client does not pay the invoice at the deadline marked in it (important: you have to set a deadline at the invoice, just "asap" won't work), you should ask politely first, why this invoice wasn't paid already. There's not always a bad person behind the curtain ;-)

If invoice stills unpaid, you have to send a payment admonition. After 2 admonitions, legal measures can be taked. Check with a lawyer further legal consequences in your country against this client.

When is the final design file handed over?

The final archives, in format as requested in brief, should be uploaded to "project administration", either within 7 days after choosing it as winner or within 7 days of receiving the end corrections. With this upload work will be consider as done and invoice, payable. Nevertheless, as long as payment in not received, rights of use still at full with the creative.

How do I supply the invoice?

After a proposal has been bought, the creatives can either upload their own invoice in PDF format, or they can create one directly on 12designer using our invoice creation form. Only the necessary information will be taken to create the invoice, then the completed invoice is sent to the client.

What must the invoice include?

An invoice must contain your details or your company's details: name, address, phone number... Client details: the name of the agency, or client if contracting directly. A unique invoice number, the date the invoice was raised, VAT registration number (if VAT-registered). Fees: a description of the services provided, the gross amount due, the VAT amount, if you are VAT-registered, the total amount due. Payment terms: how you would like to receive the money.

How does payment of the invoice take place?

Once the invoice is received by the client, they can transfer the designated amount directly to the creative - by means of bank transfer or by other transfer means (e.g. Paypal).

12designer is only an agent, the payment process takes place solely between client and creative.
